Player Applications

• Sept 20-Oct 20, 2025 - Application window: Player applications are open from September 20, 2025 through October 20, 2025; all applications received after October 20th will be considered for the waitlist.

• Oct 21-Nov 3, 2025 - Safety & casting distance check: Please check your email on October 21, 2025 for a list of potential players and further instructions to indicate safety concerns or preferences around character connection distance from other players. The safety & casting distance check is open from Oct 21 - Nov 3, 2025.

• Nov 20, 2025 - Cast list notifications: You will be notified whether you've been accepted as a player or if you're on the waitlist by November 20, 2025.

• Nov 20-Dec 6, 2025 - Initial payment window: You will have two weeks to confirm your spot with an initial deposit of $150 towards the $485 base ticket. If you do not secure your spot by December 6, 2025, it will be offered to the next person on the waitlist.

When you submit an application, you will be asked to agree to the following documents:

• Code of Conduct

• Release of Liability

• Photography Release

Note: These documents are currently under revision until applications open on September 20, 2025.

• Safety first: Once applications close on Oct 20, 2025, an email will be sent to all applicants with a list of applicant names. Players have two weeks to respond with any safety concerns or any preferences around casting distance (such as: not willing to be in the same event as another player, would like to minimize character connections with another player, or would like to have close character connections with another player). 

  • It's very important to provide a name that other players are likely to recognize you by so that this part of the process can be accurate and timely, and to prevent a need for disruptive casting changes later on. 

• Filtering stage: Applications will be reviewed regarding safety, and then regarding compatibility with the larp's themes, content, and style. Make sure you've reviewed the section Is this larp for me? before filling out an application.

• Randomized selection: The initial pool of applicants will be selected by randomized selection and reviewed for specific player needs (e.g. if you indicated that you are only interested in playing if you are in the same event as a particular player). 

• Casting: Players are assigned characters based on the casting questionnaire section of their application. 

• Notification: Applicants are notified of their application status as a player or as a waitlisted player. Players have two weeks to confirm their spot with an initial deposit or full payment. If a player fails to confirm by December 6, 2025, then their spot will be offered to the next person on the waitlist.

• By August 20, 2026: Full refund.

• Aug 21-Oct 1, 2026: Full refund if your spot is purchased at full price by a replacement player*. Otherwise, 75% refund.

• Oct 2-Nov 1, 2026: Full refund if your spot is purchased at full price by a replacement player. Otherwise, 50% refund.

• Nov 2-Nov 12, 2026: Full refund if your spot is purchased at full price by a replacement player. Otherwise, 25% refund.

• After Nov 12, 2026: No refund unless your spot is purchased by a replacement player. 

There are a limited number of sponsored tickets. You can indicate a need for a sponsored ticket on the application. If selected, we will offer you the sponsored ticket when we email you about your player application status.
